Privacy Policy

Who we are

West Coach Swing is operated by Evenements de Danse Québec Inc., located at 2182 rue Saint-Germain, Saint-Laurent, QC H4L 3T3, Canada, Montreal, Quebec, Canada. Evenements de Danse Québec Inc. is the business responsible for your personal data (the data controller).

The person in charge of the protection of personal information is Philippe Berne, President and Privacy Officer. You can reach them at info@westcoachswing.com, or by mail at the address above.

What we collect

  • Your email address (required to sign in).
  • An optional display username you choose.
  • Your role (leader, follower), level, and whether you practice solo or with a partner.
  • Your timezone, so we show streaks and reminders correctly.
  • Practice events: which drills you started, when, for how long, and an optional rating.
  • Your subscription status, returned by Stripe after each billing event.
  • If you sign in with Google: your Google profile name, email and profile picture URL.
  • If you enable push notifications:the notification endpoint your browser issues, its encryption keys, and a short description of the device or browser (for example “Chrome on Android”) so you can tell your devices apart when removing one. Remove a device at any time from your Account page.
  • If you subscribe your calendar to your practice reminders: a random private token that makes your calendar feed URL unguessable. Anyone holding that URL can see your reminder times, so treat it as private; you can regenerate it from your Account page.
  • If you accept analytics cookies: pages you view, features you use, your approximate location derived from your IP address, your browser and device type, and a replay of your session — a reconstruction of what happened on screen, including your clicks, scrolling and navigation. See Cookies and analytics below.
  • If something crashes: a technical error report (the error, the page, your browser type). We use it to fix bugs.

Newsletter and marketing email

Marketing email is entirely optional and separate from the service emails below. We only send it if you tick the newsletter box during onboarding, turn it on from your Account page, or join our waitlist. When you do, we record the exact wording you agreed to and when, as proof of consent.

Your email address is then added to our marketing lists, which we keep with Resend and sender.net. We use it to send news, offers, and the Phil and Flore newsletter. You can unsubscribe at any time from your Account page or with the link in any marketing email, and we remove you from both lists.

Check-in emails

We occasionally write to you about your own use of the service: if you start a trial and never run a practice, if you sign up and never start a trial, if you cancel, and about a month after you subscribe. Some of these nudge you to get started or come back; some ask what is working and what is not, and the answers are used to decide what we build next; and one, sent when a paid subscription is canceled, is a plain acknowledgement with no question attached.

We send them on the basis of our legitimate interest in improving the service and in understanding why people leave. They are separate from the newsletter, which needs your explicit consent, and separate from practice reminders, which you control in your account. You can stop them at any time using the link at the bottom of any of them (/unsubscribe/emails), or turn them on and off yourself under Check-in emails in your account, without affecting anything else.

Waitlist data

If you join our pre-launch waitlist, we additionally store:

  • The email address you provided.
  • The IP address and browser/device string from your signup, plus the exact consent line you agreed to. We keep this only to demonstrate consent if it's ever challenged.
  • An optional “source” field if you arrive via a campaign link (for example, utm_source), so we know which announcements brought people in.

If you'd like your waitlist row deleted entirely rather than just unsubscribed, email info@westcoachswing.com.

Why we collect it, and our legal basis

  • To provide the service you signed up for (performance of our contract with you): signing you in, building your practice plan, tracking your progress and achievements, billing your subscription, and sending service emails such as magic links, receipts, and practice reminders you switched on.
  • To keep the service working and improve it(legitimate interests): security, fraud prevention, crash reports, understanding in aggregate which drills and features get used, and writing to you individually about your own trial, cancellation, or inactivity (see Check-in emails above).
  • Analytics cookies and marketing email (consent): only with your explicit opt-in, and you can withdraw either at any time from your Account page.
  • To meet legal obligations: tax and accounting records for payments.

We do not make decisions about you by purely automated means that produce legal or similarly significant effects. The app does adjust your suggested drill level automatically from how you rate drills, but that only changes which practice it proposes, and you can override it.

Who we share it with

We rely on a small set of sub-processors to operate the service. We never sell your data and we do not share it with advertising partners.

  • Stripe processes your payments and stores your billing details.
  • Resend delivers sign-in and service emails, and hosts one of our two marketing lists.
  • sender.net hosts our marketing list and sends the newsletter.
  • Vimeo hosts and streams the drill videos.
  • Vercel hosts the web app.
  • Neon stores the database.
  • PostHog provides product analytics, if you accept analytics cookies.
  • Sentry collects crash and error reports so we can fix bugs.
  • Google only if you choose to sign in with Google.

Cookies and analytics

Strictly necessary.We use a session cookie to keep you signed in, and your browser's local storage to remember preferences such as your cookie choice. If you arrive through one of our QR codes or links, a first-party cookie remembers which flyer or link brought you here for 30 days, and that one fact is kept briefly against the email you sign in with and then recorded on your account if you create one, so we know which flyers are worth printing again. These cannot be turned off; without them the app doesn't work.

Optional analytics. We use PostHog to understand how the app is used, which tells us which drills and features are worth investing in. It sets its own cookie and records the pages you view and the features you use. It only loads if you accept itin the banner shown on your first visit. Decline, and no analytics cookie is ever set. You can change your mind at any time under “Analytics & cookies” on your Account page.

Session replay.If you accept analytics, PostHog also records your session: a replay of what happened on screen as you used the app, including clicks, scrolling and navigation, so we can see where people get stuck instead of guessing. It is a reconstruction of the page, not a video of your device, and it never captures anything outside West Coach Swing. What you type into form fields is masked, and payment details are never in scope because card entry happens on Stripe's own pages, not ours. Recordings are stored by PostHog and are used only to diagnose problems and improve the app. Declining analytics, or turning it off later on your Account page, stops recording entirely.

No advertising. We set no advertising cookies and run no ad-network trackers.

Separately from cookies, our own servers record product events tied to your account (for example, that a practice was started and completed) so the app can show your streaks and so we can see where people get stuck. This is part of running the service. If you would rather we excluded your account from that analysis, email info@westcoachswing.com and we will.

Your rights

Depending on where you live (Quebec Law 25, GDPR, PIPEDA, and similar) you have the right to access, correct, delete, or export your personal data, to withdraw consent you have given, and to object to processing based on our legitimate interests.

You can delete your account yourself at any time from your Account page, which erases your data as described below. For anything else, email info@westcoachswing.comand we'll act on it within 30 days.

If you think we have handled your data badly, you can complain to us first, and then to your regulator: the Commission d'accès à l'information du Québec, the Office of the Privacy Commissioner of Canada, or, in the EU or UK, your national data protection authority.

Data retention

We keep your data while your account is active. When you delete your account we cancel any active subscription, remove you from our marketing lists, and erase your profile, practice history, favorites, badges, notification devices and feedback from our active systems. Encrypted backups are cycled out within 90 days. We keep payment and tax records for as long as Canadian tax law requires, and we keep the record of your marketing consent for as long as we need it to show the consent was validly given.

Children

West Coach Swing is not intended for users under 16. We do not knowingly collect personal data from children.

International transfers

Our providers (including Vercel, Neon, Stripe, Resend, PostHog and Sentry) operate from servers in the United States and elsewhere, so your data may be transferred and stored outside Canada and outside the European Economic Area. We rely on standard contractual clauses with our sub-processors where applicable, and we assess each one before entrusting it with personal information.

Changes

We may update this policy from time to time. If we make material changes that affect how we handle your data, we'll email you before the changes take effect.
